Good plans make good adventures
This page walks through planning and approvals for Scouting activities. It might sound bureaucratic, but here’s the truth from leaders who’ve been there: the plan is the adventure. Well-planned activities run smoothly, feel relaxed and leave room for fun.
The basic sequence
- Concept. What, where, when and who? Youth members should help shape this — planning is part of the program.
- Risk assessment. Identify what could go wrong and how you’ll prevent or manage it. National templates make this straightforward.
- Capability check. Confirm leaders hold the right endorsements for adventurous elements.
- Approvals. Submit the activity plan through your Group and District per Scouts Queensland processes — timelines vary by activity risk level.
- Communicate. Parents receive details and provide consent before the day.
Honest advice
- Start planning early. Late approvals create stress nobody needs.
- Borrow a previous plan. Nobody expects originality on risk assessments.
- Build in a wet-weather option. In Queensland, always.
Try this
At your next unit council, ask the youth members one question: “what would make this trip safer?” They often spot risks adults overlook — and owning safety makes them own the adventure.
